How do I register for ICFP 2022?

Registration for ICFP 2022 is now open. To learn more about registering for ICFP 2022 and to register for the conference, click on the red REGISTER tab in the menu bar above or visit the registration page. Other key dates and links can be found here.

Who do I contact with a visa issue?

The ICFP Secretariat understands some registrants are experiencing difficulties garnering visas outside the 90 day window from the start of the event (14 November).

Before traveling to your consulate for your visa, the ICFP Secretariat advises all registrants to confirm their appointment date and time with their local office and make sure they understand all elements of the visa application they are responsible for providing during said appointment.

The ICFP Secretariat appreciates everyone who has shared their experience with the visa process in their country with us. We are actively collecting feedback  from the ICFP community and encourage anyone experiencing visa issues to let us know via this form. We are in close contact with the National Steering Committee and government of Thailand and any information you can provide about your personal experience would be incredibly helpful.

Will interpretation services be available at ICFP 2022?

The official language of ICFP is English. ICFP will once again offer French interpretation in over 50% of all scientific sessions. We also hope to provide interpretation software which all in-person attendees with smartphones and/or computers will be able to utilize. All sessions taking place in the main Plenary Hall will have both French and Thai interpretation.

Where is ICFP 2022?

This global gathering will take place in Pattaya City, Thailand at the Pattaya Exhibition and Convention Hall (PEACH). Pattaya City is a coastal city conveniently located 90 minutes southeast of Bangkok along the East Coast of Thailand.

Where can I find more information about the ICFP pre-conferences and side events?

ICFP Pre-conferences: Pre-conferences are organized and hosted by our community partners and some ICFP subcommittees and take place between 12-14 November 2022. You can find out more about the 2022 ICFP pre-conferences held by these organizations on their sponsor pages (by clicking on their logo on the ICFP sponsor page) and subcommittees (in the Community tab under their respective ICFP Communities page).

ICFP Side Events: Side events for the 2022 International Conference on Family Planning include any meetings, workshops, panels, networking sessions, training courses, and presentations that take place outside of the programmed conference hours (8:30 to 17:40) on 15-17 November 2022. Most side events are not organized by the ICFP hosts, but by partner organizations and our various sponsors. They are an opportunity for groups to convene stakeholders to focus on their own area of interest in the format of their choice. You will find a list of side events in the virtual and printed conference program. If you are interested in hosting an onsite side event within the convention center complex, these can be obtained through our various ICFP sponsorship packages.

How many people do you expect to attend the 2022 ICFP?

Based upon our historical percentage increase in attendance, we initially anticipated approximately 5,000 attendees from over 120 countries around the world at the 2022 ICFP. We are continuously working to mitigate as much risk as possible to ensure the safety and health of our delegates posed by COVID-19. The postponement of the conference until November 14-17, 2022, will hopefully give time for the vaccine to  be widely available in all countries in which our delegates reside to allow for all to safely attend, as we will likely be requiring all who attend the 2022 ICFP to be vaccinated. As well, we will be working with our co-host the government of Thailand, including the Ministry of Public Health to determine the maximum number of people who may safely convene in the convention center complex, which may further limit the number of attendees able to attend the ICFP in person. Therefore, we are currently working to maximize our virtual options for those who may not be able to attend in person. Scientific Program FAQs

I have logged into the abstract submission platform (Dryfta) and am not seeing all of my submitted abstracts. Why not?

Different email may have been used to submit your abstracts.  If this is the case, then you multiple accounts will have automatically been created for you in Dryfta.  You will have been sent separate emails about each account.  If you do have two or more accounts, please reach out to us at abstracts@theicfp.org to merge these accounts for you.

I have not yet received notification of whether my abstract was accepted or rejected to the ICFP2022. How can I find this status?

If you are the primary author who submitted the abstract, but you didn’t receive an email coming from Info@theicfp.org, please check your Junk/Spam email folder.  If you do not see this email there, please contact abstracts@theicfp.org. You will need this email to confirm your acceptance or rejection of your presentation slot by 17 June 2022. If your official acceptance is not received by this date, you will forfeit your presentation slot.

If you were not the primary author who submitted the abstract, then you will not receive an acceptance or rejection email.  Only primary authors will be sent an email indicating the acceptance or rejection of their abstract. As well, if the abstract is accepted, only the primary author can confirm acceptance of the abstract presentation slot utilizing the link provided in the email by 17 June 2022.  If they do not officially accept the abstract presentation slot by this this date, the presentation slot will be forfeited.

However, if you are listed as a co-author of a submitted abstract, you will be able to see your acceptance or rejection notification within the Abstract Dashboard in the conference abstract platform (Dryfta).  If this is your first time logging into the Dryfta system you will need to find the email automatically created for you when the abstract was submitted and sent from Info@theicfp.org. Please check your Junk/Spam email folder if you cannot find this in your email Inbox.

I received notification that my Pre-formed Panel Abstract was both REJECTED and ACCEPTED. What does this mean?

There is a chance that the pre-formed panel that you were a part of was rejected, but that your abstract submission inside of this pre-formed panel was suggested by reviewers to be accepted as an “individual abstract” and given a place in the program as an oral, oral flash, or poster presentation, which should be indicated both online in the abstract submission system, and in the letter of acceptance that you should have received via the email utilized to submit this specific abstract.  If you do not see this email in your in-box, please look in your Spam folder. If you still have questions, please reach out to abstracts@theicfp.org.

Do all presenters need to be in person at ICFP?

All abstract submitters accepting the invitation to present at ICFP 2022 must agree that they will present in-person at the conference held from 14-17 November 2022. If you are unable to secure funding to attend ICFP,  you will have the opportunity to change the primary presenter of your abstract when abstracts re-open for editing in mid-July 2022 to a secondary author who will be in attendance at the ICFP.

My abstract was accepted to the 2022 ICFP and I need to accept my presentation slot at the conference by the 14 June 2022 deadline, but I am not sure how to do this.

If you are the primary author who submitted the abstract, but you didn’t receive an email coming from Info@theicfp.org, please check your Junk/Spam email folder.

If you do not see this email there, please contact abstracts@theicfp.org.  You will need this email to confirm your acceptance or rejection of your presentation slot by 14 June 2022.

If your official acceptance is not received by this date, you will forfeit your presentation slot.

Please complete the following two steps to confirm your acceptance once you receive this email:

 

  1. Copy and paste this link https://icfp2022.dryfta.com/abstract-submission into your web browser to access the confirmation page in order to indicate your acceptance of the presentation of your accepted abstract at the 2022 ICFP by June 17, 2022, at 12:01 AM EST. (If you do not confirm by this date, you will not be included in the conference program and will forfeit this presentation slot). Please follow the instructions on the My Abstracts page to confirm or decline your abstract’s acceptance.
  2. Presenters with multiple accepted abstracts will be restricted to presenting no more than two times within the conference program, whether as oral presentation, oral flash presentation, or poster presentation. If you have more than two abstract submissions accepted to the conference, please determine which two you will present and confirm yourself as the presenter when accepting the(se) invitation(s).
  3. For accepted abstracts outside of the two you choose to present, please list another presenter before accepting the invitation(s).
  4. Please do not confirm acceptance of presentation invitations until you have ensured that each presenter listed is able to attend the 2022 ICFP in-person.

Please also visit your user dashboard in the conference abstract platform (Dryfta) to ensure your profile information is complete.

 

 

I have not yet received a confirmation email or notification after completing the acceptance of my abstract. Will I receive notification of my acceptance?

Yes, you should receive a confirmation email acknowledging your acceptance or rejection of your abstract presentation slot.  Please check your Junk/Spam email folder, if you do not find it in your email Inbox.   You may also repeat the acceptance process, and if your acceptance or rejection was successful, then you will see your previous selections are still showing in the system. 

After I accept my abstract presentation, will I be able to edit my abstract?

Abstracts will reopen for editing in Dryfta on 12 July 2022. This will be your chance to edit your abstract and author details prior to the information being published in the conference program.

If you are unexpectedly unable to attend the 2022 ICFP in-person and cannot designate an alternate presenter, we can provide you with an alternative option.  More information will be provided after your confirmation has been received.

If my abstract is accepted for the ICFP scientific program, will I automatically receive funding to attend the conference?

No, all accepted abstract presenters are responsible for registering online, paying the registration fee, and securing travel and accommodation arrangements. The ICFP is offering several conference funding opportunities for young professionals interested in attending the ICFP. Please see the below opportunities and review eligibility criteria:

Why wasn’t my abstract accepted?

There were over 3,100 abstracts submitted to the ICFP2022 and the process was highly competitive, with approximately 50% of abstracts being accepted. Track organizers considered abstract scores, in addition to ensuring a breadth of topics, language, and abstract types (research, program, and advocacy) when arranging tracks.

What were the acceptance rates of pre-formed panels versus individual abstracts?

Out of all 3,104 abstract submissions, 52% were accepted.  The acceptance rate for abstracts that were part of a pre-formed panel was 46% and for individual abstracts was 53%. A higher proportion of abstracts submitted as pre-formed panels were assigned to oral sessions (35%) than abstracts submitted as individual abstracts (19%). 

What is the Jr. Researcher Travel Award & who is eligible?

Authors 35 and under (on 12 November 2022) with an accepted abstract will be eligible for the Jr. Researcher Travel Award. Applications for the Jr. Researcher travel award will open June 1, 2022. Eligible authors will be contacted to apply. The Jr. Researcher Travel Award will provide travel support to attend and present at the ICFP.

Do participants have to apply to the travel awards? Or, if my abstract is accepted, is the abstract automatically under consideration for a travel award?

All accepted abstract presenters are responsible for registering online, paying the registration fee, and securing travel and accommodation arrangements. Can abstract reviewers, members of sub-committees, or people otherwise involved with planning ICFP submit abstracts?

Yes! There are no restrictions on who can submit. Reviewers should not review their own abstracts and will be given an opportunity to note any conflicts of interest once abstracts are assigned.

Are there limits on the number of abstracts that can be submitted by individuals or organizations?

No. Individuals and organizations can submit as many abstracts as they like. However each individual can appear only twice in the program as a presenter in either a traditional oral or flash presentation session so authors should consider identifying a range of presenting authors.

Can abstracts cover already published findings?

No. Journal articles that are already accepted for publication or published before the abstract submission deadline should not be submitted. If journal articles are accepted for publication and published before ICFP that is acceptable.

How do I submit an abstract?

Unfortunately, the abstract submission deadline has passed, and we are no longer accepting submissions. Thank you for your interest.

Can figures and tables be included in ICFP abstracts?

No. Submitters should not include tables or figures in their abstracts as they cannot be uploaded in the abstract submission portal. However, if possible, they should include the specific point estimates and/or coefficient values when describing key results in the text.

Can you submit the same presentation for both individual and preformed panels?

No. You should submit each potential presentation only once as either an individual abstract or as part of a pre-formed panel.

Is it acceptable to submit abstracts without having the data?

Yes, promissory abstracts can be submitted, though they are not likely to score as well as abstracts with at least preliminary data or findings.

What should I do if my abstract doesn’t align with any of the sub-tracks listed for a particular track?

Authors should submit to the track that they think is the best fit, even if the sub-tracks don’t perfectly align. Sub-tracks are not an exhaustive list of potential topics so authors should submit to the track that they feel best aligns with their abstract and select “other” when identifying a sub-track.

Are citations required and do citations count towards the word limit for abstracts?

Citations are not required. The Dryfta system cannot distinguish between citations and non-citations and thus any citations that are included will count towards the word count.

How many abstracts will be accepted?

Depending on any relevant social distancing requirements, we anticipate accepting between 1,500 and 1,600 abstracts.

How do I know if I successfully submitted my abstract?

Authors are able to track their abstract submission on the Dryfta abstract dashboard (https://icfp2022.dryfta.com/abstract-submission). If your abstract has successfully been submitted, your Submission Status will say “Pending Review”. 

COVID-19 FAQs

Will there be international travel restrictions?

We have postponed the ICFP to November 14-17, 2022 to allow time for the wide distribution of a vaccine for COVID-19 throughout all countries from which our delegates will travel. 

We are planning in coordination with representatives of the JHU Center for Health Security, on implementing a number of measures to ensure as best as possible the safety of all delegates, depending upon the COVID-19 situation in Thailand in the fall, possibly including but not limited to:

  • Increased number of, and access to, hand-washing/hand-sanitizing stations
  • Promoting personal protective practices, such as safe physical distancing, frequent hand washing/sanitizing, and use of a mask
    Offering virtual, live-streamed sessions and activities
  • COVID-19 detection, surveillance, and quarantine facilities
  • Full vaccination requirement

All registered attendees will be notified once the official list of protocols is available. Please note that all attendees will be expected to follow and comply with any and all national and/or local requirements, as well as any policies set by the conference.

What measures will be taken to ensure my health and safety?

We are planning on implementing a number of measures to ensure the safety of all delegates, depending upon the situation, including but not limited to:

  • Increased number of, and access to, hand-washing/hand-sanitizing stations
  • Promoting personal protective practices – safe physical distancing, frequent hand washing/sanitizing, use of a mask
  • Offering virtual, live-streamed sessions and activities
  • Changing the event program to reduce high-risk activities such as those that require physical contact between participants
  • COVID-19 detection, surveillance, and quarantine facilities
  • Vaccination requirement

All registered attendees will be notified once the official list of protocols is available. Please note that all attendees will be expected to follow and comply with any and all national and/or local requirements, as well as any policies set by the conference.

Are you expecting the same number of people to attend the rescheduled conference?

Depending on the availability of a vaccination against COVID-19, we may be able to host the same number of delegates or more than we saw at ICFP 2018—around 4,200. However, if a vaccine is not widely available prior to the conference, travel restrictions and/or physical distancing safety measures may require us to limit the number of ICFP attendees. It is our plan to uphold the original mission of the conference—bringing delegates together from across the globe to disseminate knowledge, celebrate successes, network, and identify next steps toward reaching our collective goals.

Do you offer registration reimbursement if I change my mind about attending?

If you are no longer able to attend the ICFP, we offer a partial refund of registration fees up until Monday, 26 September, 2022 or the option to transfer registration to another individual up until Friday, 28 October, 2022. Check out the registration policies section on the registration page for more information and deadlines on partial refund and transfers. 

Is there a chance the conference will be canceled altogether?

We are continuing to monitor the situation regarding COVID-19 travel restrictions and considering all options to ensure the safety of our delegates. At this time, we are planning to host a hybrid conference in Pattaya City, Thailand from 12-17 November 2022, where over 50% of the in-person conference will be livestreamed (and available on demand) to those who purchase virtual conference registrations. However, in the event the conference has to be cancelled or the capacity is restricted to numbers below that which will allow for all presentations to occur in person due to the institution of health and safety protocols, the conference will move to a fully virtual event.
